Job Description

Our Client:

Our client is one of the top leading Japanese Engineering companies. They are urgently looking to hire the Admin Officer to join their rapidly growing team.

The Responsibilities:

* Ensure that the outgoing and incoming mail/calls is allocated to the right department within the organization

* Organize and assist fellow employees with meetings, conferences and direct telephone calls when required
* Welcome Guests
* To communicate with members of the public when an inquiry is made
* Manage and maintain the filing system that has been implemented into the organization e.g. information systems
* Manage office supplies and maintain inventory and place orders when necessary (pantry/stationeries) as well as ordering of equipment, office supplies and other inventories that are required
* Arrange Postage (local) and courier services (DHL)
* Verifying staff expenses claim to ensure claims are adhered to company policy
* Booking of travelling ticket and hotels (local & overseas), etc.
* Employee and travel insurance renewal/cancellation
* Coordinating with internal/external IT support
* Other General admin duties
* Visa Invitation Letter
* To conduct orientation programmes for new recruits and ensures proper induction is given
* Work closely with site Managers, Supervisors, and management team to deliver
* HR initiatives and operational support
* Assist in maintaining the document management system in accordance with the company's ISO policies and procedures
* Process of Group Insurance administration for staff and ensure compliance with the Act
* Assist in organising corporate social responsibility and welfare activities
* Other ad hoc administrative duties when assigned

The Requirements:

* Minimum of 3-8 years of working experience in office management. Prior working experience in office at the construction industrial is preferred
* Minimum in Diploma in Business Administration
* Computer literacy and proficient in Microsoft Office
* Meticulous and attention to details
* Responsible, proactive, show initiative to learn and adaptable to change
* Team player with good communication skills
