Job Description

Our Client:

Our client, an international organization in the Maritime industry is on the lookout for a Personal Assistant to CEO in Singapore.

The Responsibilities:
Handles a variety of administrative tasks for the President & CEO including but not limited to:

* To manage all correspondences including attending to incoming calls from external parties and welcome office guests in a courteous and professional manner
* Effectively manage schedule of meetings and active calendar of appointments
* Plans, coordinates and ensures the CEO's schedule is monitored
* Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately
* Gather, compile, verify, and analyze information for the CEO to use in documents such as memos, letters, reports, speeches, presentations, and news releases
* Preparation of documentations and presentation materials
* Handling proper management and filing of confidential document
* Arranging detailed travel plans, itineraries, and agendas and compiling documents for travel-related meetings
* Completion of expense reports
* Prioritizes conflicting needs and handles matters efficiently & proactively
* Prepares refreshments for office events and board meetings
* Raising Purchase Order for related expenses
* Support to CEO's Executive Leadership Team Members where applicable
* Arranging detailed travel plans, itineraries, and agendas and compiling documents for travel-related meetings
* Filing
* Raising Purchase Order for related expenses
* Support in arranging meetings
* Support with creation of presentation materials
* Expense claims, when possible
* Other ad hoc task as and when required

The Requirements:

* At least 5 years of experience in similar role to a Senior Management level member
* Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
* Strong interpersonal skills and the ability to build relationships with stakeholders, including employees, Executive Leadership Team and external parties
* Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
* Proven ability to handle confidential information with discretion, and be adaptable to various competing demands
* Excellent written and verbal communication skill
* Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat
