Job Description
Our Client:
Our client is one of the top leading Japanese MNCs. Their HR Consulting Department is looking to hire an energetic Senior Executive / Executive to manage whole operation of HR Development & Organizational Development team.
The Responsibilities:
Main responsibility is to manage the whole operations of Human Resources Development (HRD) and Organizational Development (OD) related services i.e. training programs, HRD/OD projects, etc., provided to clients mainly in Asia Oceania regions (mostly internal clients within group companies), and assist Manager/Consultant to plan, design, develop and manage such services.
* Manage HRD/OD Service Operations
Training vendor management
* Coordinate with training vendors for logistics arrangements, get quotation, prepare service agreements
Announcement
* Prepare registration form, create marketing materials such as brochure and event website, send out announcements to clients, follow up registration, send out acceptance email to clients
Preparation for program day
* Prepare participant list, announce pre-work/assignments to clients, set up online meeting link, send reminder to participants, arrange venue, equipment, F&B and other logistics
Program delivery
* Zoom set up, attendance taking, breakout room arrangement, handles inquiries from participants, prepare name tags, other necessary equipment, reception, making announcements of administrative matters
Post-program
* Prepare post survey and send it out to participants, follow up the submission, create an analysis report of feedback results, prepare digital certificate, and send out to participants
Accounting
* Liaise with administration team for paying/billing, prepare P/L sheet per each program
Client's list
* Update mailing list, update personal data ledger
Participation record
* Update participation record and make a report periodically
* Assist Manager/Consultant to plan, design, develop HRD/OD services such as training programs, seminars, e-learnings, workshops
* Assist promoting utilization of e-learning platform provided to clients worldwide such as preparing marketing materials, monitoring participation progress and making a analysis report, assisting Manager/Consultant to create new program outline
* Improve efficiency of training operations
* Collaborate with parent company in Tokyo and HR department in group companies overseas branches in the AO region
* Other ad hoc or additional and/or different tasks or duties as per delegated by the supervisor as it considers necessary
The Requirements:
Essential requirements
* At least 3-5 years' work experience and able to handle tasks from operations to logistics independently, not only limited to HR fields
* High proficiency in Microsoft Office 365 (Word, Excel, PPT, OUTLOOK, Teams, Forms, SharePoint, Power Automate, etc.)
* Able to implement efficient operational process
* Good communication skill/attitude, client focus, strong teamwork/initiative
Preferably
* Work experience in HR and HR Development or Organizational Development
* Work experience in Project Management
