Job Description

Our Client:

Our client plays a major role in Japanese society as a contributor to the development of the nation's economy and as a supporter of the advancement. They are actively looking to hire a General Affairs to join their team in Singapore.

The Responsibilities:

Expense & Budget

* General Expense payment including preparation of payment authorization and internet banking transaction
* GST settlement operations
* Daily reconciliation of expenses and balance sheet (PDF Filing)
* Monthly reconciliation of bank token, USB, SD cards, and prepaid cards
* PDF Filing of NOVAS output
* Preparation of funding request
* Budget input
* Computation of business trip expenses
* Managing the Branch's subscription of newspaper and information tools
* Save monthly exchange rate list
* Premises Management
* Physical verification of fixed assets and furniture and fixtures (F & F)
* Attending to various maintenance works and renewal of maintenance agreement for FCU, copy machine, Pre-action Systems, IPTV, etc.
* Procurement and stock checking of consumables and vending machine
* Arranging periodic cleanings of the server room
* Annual verification of furniture and fixtures and office equipment

General Administration

* Opening and closing of main entrance
* Distribution of newspaper and magazines
* Locking/ Unlocking of cabinets
* Visitor support (including serving tea) and attending to incoming calls,
* Preparation of postal and courier services, and mail distribution
* Preparation of annual document retention and disposal
* Preparation of various files
* Renewal of company hand phones
* Renewal of postal service agreement
* Periodic maintenance of the Branch's air conditioners, vending machines, copiers, fixed line telephone, Pre-action Systems and other equipments
* Procurement of branch F&B, sundry, stationery (Including name cards, stamps)
* Monthly verification of indenture list
* Safekeeping of and updating the list of contract documents
* Maintenance of the Branch's vehicle (with liaising with the Branch's car driver) including renewing car insurance
* Other miscellaneous works

The Requirements:

* Proficient in MS Excel, Word, and PowerPoint
* Ability to multitask and a team player
* Excellent interpersonal skill and communication skill
* Having 2 -3 years working experience in related function
* Given the nature of the job, proficiency in spoken and written Japanese language is a plus to be able to liaise effectively with native Japanese-speaking stakeholders
