Our Client:

An excellent opportunity to join a multinational company in the Professional Services (Legal) industry. The company is currently looking to hire a Legal Secretary to take on a pivotal individual contributor role in Singapore.

The Responsibilities:

As a sole contributor, this role is based in Singapore and you will play a pivotal role in managing full spectrum of Legal Secretary scope and act as a good support to the 4 Lawyers (Partner and his 3 Associates) on all legal secretarial and PA matters.

This is a replacement headcount of a long-time staff, and you will be taking care of Singapore's office only.

It is anticipated that the focus of the role will be legal secretarial, administrative, and organisational.

Legal Secretarial Duties

* Editing, marking-up and amending documents with speed and accuracy
* Proofreading all work, checking for spelling and grammar
* Assisting in the preparation of large files or bundles of documents
* Being an effective user of key software packages, (i.e. Word/PowerPoint/Excel/Document Management systems) and taking responsibility for any training (e.g. MOS) to improve relevant skills needed to meet the needs of the business
* Preparing simple documents, including tables, list of documents, checklists and letters
* Carrying out public searches on ACRA

Administrative Duties

* Providing proactive administrative and organisational support to the team ensuring and promoting quality, excellence and efficiency of service
* Taking accurate telephone messages, taking ownership of queries and ensuring the client receives a satisfactory response
* Screening, prioritising and dealing with lawyers' in-coming emails when they are out of the office, acknowledging receipt and responding where appropriate to ensure the client is never left waiting
* Assisting with completing money laundering checks including liaising with clients & corporate secretarial firms for the provision of the necessary documents

Other Duties

* Managing diaries of allocated lawyers in Microsoft Outlook
* Preparing standard audit letters based on existing templates, where necessary
* Working together with Financial Controller, assisting with the application for certificates of residence with IRAS
* Completing any lawyer expense forms and allocating to the appropriate budget including processing of claims

The Requirements:

* At least 8-10 years' experience in Legal Secretarial work, in a reputable law firm setup
* Passion and enjoys administrative work
* With maturity to be sensitive when dealing with confidential information
* Pays attention to details and is a great team player
* Independent, quick-learner and possesses strong sense of responsibility

Working days: Monday to Friday: 9am - 6pm
