Job Description

Our Client:

RGF represents one of the top leading large Japanese MNCs. Their regional HQ in Singapore is actively looking to hire an Executive Secretary for CEO.

The Responsibilities:

The Secretary is responsible for supporting CEO in his/her daily duties and affairs related to

managing the company

Secretarial Support to CEO (100%)

* Assist to maximise the CEO's working calendar to ensure good time management
○ Including business travel and meeting arrangements within recommended safety parameters, etc.

* Manage CEO's work-related documents for relevant endorsement and/or filing
○ Including visa arrangements for travel, business registration documents,

etc.

* Organise and arrange business lunches, dinners, offsite meetings with business associates
* Arrange travel and accommodations for CEO
* Welcome the CEO's guests by greeting them, and direct them to appropriate place
* Assist and support officers' guests from overseas for their logistics, accommodations, and setting meeting schedule
* Manage the CEO's incoming and outgoing mail and documents effectively
* Create and issue, as well as filing of Disbursement Instructions related to CEO's

Expenses

* Manage corporate driver and vehicle to ensure that they are available at all

* reasonable times
* Support other officers' secretary as and when required
* Handle confidential documents ensuring they remain secure
* Perform other ad hoc duties as assigned

The Requirements:

EXPERIENCE

* At least a degree in business management, business administration or equivalent is preferred
* 5 years of experiences in corporate support and/or general administration

KNOWLEDGE, SKILLS, AND ABILITIES

* Advance knowledge in corporate secretarial support
* Advance knowledge in general administration and operational
* In-depth understanding of communication methods and tactics to ensure effective

communication

* Basic knowledge of trading companies and the general commodities market
* Basic use of IT equipment and tools, such as E-mail (Outlook) and internet functions
* Advance knowledge of administrative software including word processing, Excel

spreadsheets and presentation

* An understanding of the economic, cultural, and political environment that the

company may confront

* Intermediate IT skills, mainly Microsoft tools (Outlook, Word, EXCEL, PowerPoint, and Teams)

* Sometime will need to work beyond the company's regular operational hours
