Job Description

Our Client:

Our client is one of the leading brands, they provide complete engineering solutions for Offshore and Marine Industry. They are actively looking to hire a Senior Executive/ Executive to join their team.

The Responsibilities:

Expediting Management

* Monitor Purchase Orders issued and contact the vendors to ensure orders are received and dispatched on time according to the shipment planning requirements
* Contact with third-party representative logistics and shipping companies, maintain close contact through remote inspection solutions, video conferencing, phone calls, emails and in person during deliveries to avoid delays in shipments
* Liaison with members of the procurement and finance team after issuance of purchase order to make appropriate arrangements with buyers for the Letter of Credit opening, down payment matters and payment after delivery
* Track shipment, create tracking reports for delivery of MRFs, POs delivery, and liaising with suppliers on billing and warranty issues, completing delivery of material flawlessly
* Liaison with external and internal stakeholders for punching and commissioning problems and mobilization, and related problems for smooth commissioning completion
* Work with suppliers to solve billing issues, inconsistencies in Purchase Order information related to quantity and quality of materials that cause delays in critical shipments
* Generate expediting status report (ESR) for project team
* Promptly notify project management team if a critical delivery will be late to seek resolutions or seek replacement and alternatives to manage delay in the project timeline
* Follow up with vendors and engineers regarding delays/overdue submissions of VCD/IFA/IFC/As-Built documents
* Consolidate Marine Cargo Insurance for shipment and submit claims when required
* Arrange third-party inspection activities prior to shipment and communicate inspection results to relevant stakeholders
* Liaison with Authorities (MPA, Customs), if necessary, to request licenses and expediting-related permits
* Organize ESR meeting with stakeholders including clients, section representatives, cross-functional project teams (e.g. engineering, project management and production, etc.) to contribute inputs on procurement milestones related to delivery dates, milestones and status

Expediting Improvement

* Be involved in evaluation of vendors on their delivery services performance and provide feedback to purchase and wholesale equipment team members to support their evaluation details
* Report NCS on procurement activities and identify root cause for analysis to rectify the reported NCs and ensure measures are taken to prevent repetitive issues
* Prepare audit for procurement activities and offer information for audit to solve problems, documenting and maintaining reports for further process improvement with Auditor

Procurement Team Collaboration

* Collaborate with members of the purchasing team as needed to ensure operation goals and deadlines are met
* Provide support on various projects as needed to promote cross-functional learning and development, balancing the team workload, and improving the team's overall productivity
* Health, Safety, Environment, and Quality (HSEQ) Management System Support
* Embed HSEQ work cultures and best practices to ensure success in implementation of HSEQ management systems
* Maintain and implement HSEQ procedures, policies, and programs and drive continuous improvement through risk-based thinking and analysis
* Support the conduct of HSEQ management system audits to ensure compliance with legislations and company policies

The Requirements:

* Bachelor's Degree in Purchasing/ Business Administration, or related disciplines
* 3 - 5 years of working experience in expediting functions
