Our Client:

Our client is one of the top leading Japanese MNCs and their regional HQ office in Singapore is actively looking to hire an energetic individual to join as HR Senior Officer.

The Responsibilities:

HR System & Operations (30%)

* Update and maintain data of employees in the HRIS, ensures data accuracy of all entries
* File and maintain e-personnel documents in an organized manner under the Employee's individual P-file
* Administer the Leave module under HRIS i.e., maintaining accurate leave entitlement and policies for all employees according to company policy and legislative requirements, and provide leave balance for provision
* Coordinate for confirmations, benefit updates after confirmations, probation extensions, etc.
* Administer work pass application, renewals, and updates on MOM platform
* Provide support to employees' enquiries regarding HR guidelines and policies

Payroll (20%)

* Prepare monthly payroll and facilitate the payroll process
* Administer and file for government grants such as maternity, paternity, childcare, reservist leave, etc.
* Prepare data for tax declaration via company's tax vendor

HR Administrative support (30%)

* Create disbursement instructions for claims and invoices using ProMaster and SAP GBS systems
* Prepare monthly organization chart updates
* Update delegation of authority and prepare documentation
* Prepare letters such as certification of employment, confirmation letters, etc.
* Track latest HR related news and share intelligence with the team. Extract data from HRIS (HR system) and prepare reports and surveys as required

Recruitment (10%)

* Support recruitment activities such as coordinate and schedule interviews for identified candidates
* Assist with initial screening of resumes to determine suitability of candidate e.g., interviewing the candidates over the phone / video conference
* Review drafts of job descriptions submitted by hiring department

Team support (10%)

Support the team in the absence of other members for the following:

* Manage onboarding and offboarding process such as preparation of letter for resignation acknowledgement, sending out exit interview forms and coordinating exit interviews, arranging return of assets / IT equipment, etc.
* Post advertisements on job portals and internally for employee referral programs
* Renewal and application of corporate memberships
* Updating personnel directory in MC square and mailing lists

The Requirements:

Knowledge / Experience

* Minimum Degree in business, preferably with specialization in HR
* Minimum 3-5 years of relevant HR generalist experience (must have HR generalist experience, preferably familiar with the above-mentioned scope)
* Advance proficiency in Microsoft suite of programs, especially Microsoft Excel (able to do VLOOKUP / Pivot table)
* Good numerical skills
* Meticulous, accurate and good with details
* Able to manage tasks independently and takes initiative to seek support when unsure
* Good communication skills and situational awareness
* Can handle timeline and manage stress well
